These Terms & Conditions govern bookings made with Eastern Arc Expeditions GmbH ("Eastern Arc Expeditions", "we", "us", "our").
By booking an expedition, safari, or other travel service with Eastern Arc Expeditions, you agree to these Terms & Conditions.
1. Booking Process
Participation in any expedition, safari, or travel experience organised by Eastern Arc Expeditions is subject to availability and written confirmation.
Bookings are typically arranged following an enquiry, consultation, and personalised quotation. A booking becomes binding once the required deposit has been received and written confirmation has been issued by Eastern Arc Expeditions.
2. Prices
All prices are quoted in the currency specified in the quotation.
Unless otherwise stated, prices include the services listed in the itinerary and quotation.
International flights, visas, travel insurance, personal expenses, alcoholic beverages, gratuities, and any items not specifically included in the itinerary are excluded.
3. Deposits and Payment
A deposit of 30% of the total trip price is required to secure a booking.
The remaining balance is due 60 days before departure unless otherwise stated in the booking confirmation.
Bookings made within 60 days of departure may require full payment at the time of booking.
Failure to pay the balance by the due date may result in cancellation of the booking.
4. Cancellations by the Guest
All cancellations must be submitted in writing.
Cancellation charges may apply depending on the timing of cancellation and any costs already incurred on behalf of the guest, including permits, accommodation reservations, domestic flights, transport arrangements, and other non-refundable services.
Unless otherwise specified:
More than 60 days before departure: deposit refundable less any non-refundable costs already incurred.
60 days or less before departure: payments may be partially or fully non-refundable depending on services already booked.
Where possible, Eastern Arc Expeditions will seek to minimise cancellation costs and may offer alternative dates or transfer options.
5. Changes Requested by the Guest
Requests to modify an itinerary, travel dates, accommodation, or other arrangements will be accommodated where possible but may result in additional charges.
6. Changes by Eastern Arc Expeditions
We reserve the right to make reasonable changes to itineraries where necessary due to weather conditions, road conditions, conservation requirements, government regulations, safety considerations, transport disruptions, or other circumstances beyond our control.
Where significant changes become necessary, we will make reasonable efforts to provide suitable alternatives.
7. Minimum Group Size
Some scheduled departures require a minimum number of participants.
If the minimum group size is not reached, guests will be offered an alternative departure date, an alternative itinerary, or a refund of payments made to Eastern Arc Expeditions.
8. Health and Fitness
Guests are responsible for ensuring that they are physically capable of participating in their chosen itinerary.
Relevant medical conditions, allergies, dietary requirements, or mobility limitations must be disclosed before departure so that appropriate arrangements can be considered.
Participation may be refused where health or safety concerns make a journey unsuitable.
9. Travel Documentation
Guests are responsible for ensuring that they possess valid passports, visas, vaccinations, and any other documentation required for travel.
Eastern Arc Expeditions accepts no responsibility for costs arising from inadequate travel documentation.
10. Travel Insurance
Guests are required to obtain comprehensive travel insurance covering medical expenses, emergency evacuation, trip cancellation, personal belongings, and any activities included in their itinerary.
It is the responsibility of each guest to ensure that their insurance policy provides adequate coverage for their chosen journey.
11. Wildlife Viewing and Nature Experiences
Many of our journeys focus on wildlife, biodiversity, and natural environments.
While we will always do our best to maximise opportunities for wildlife observation, we cannot guarantee sightings of any particular animal, plant, or natural phenomenon.
12. Responsibility and Liability
Eastern Arc Expeditions works with carefully selected accommodation providers, guides, transport operators, conservation organisations, and other local partners.
While we take great care in selecting these partners and organising our journeys, participation in expeditions, safaris, hiking, diving, and other outdoor activities involves inherent risks.
Guests participate at their own risk.
Eastern Arc Expeditions shall not be liable for loss, injury, illness, delays, expenses, or damages arising from circumstances beyond our reasonable control.
13. Acknowledgement of Risk
Many of our journeys take place in remote natural environments and may involve hiking, wildlife encounters, challenging terrain, variable weather conditions, and limited access to medical facilities.
By participating in a journey, guests acknowledge and accept the inherent risks associated with travel and outdoor activities in such environments.
14. Force Majeure
Eastern Arc Expeditions shall not be liable for cancellations, delays, itinerary changes, or other disruptions caused by events beyond our reasonable control, including but not limited to natural disasters, severe weather, political instability, epidemics, government restrictions, transport disruptions, strikes, or other unforeseen circumstances.
15. Governing Law
These Terms & Conditions shall be governed by and interpreted in accordance with Swiss law.
Any disputes arising from bookings with Eastern Arc Expeditions shall be subject to the jurisdiction of the competent courts of Switzerland.
